How can I start using Empxtrack Exit Management for my organization?

After registering for Empxtrack’s free offering, access the system with your login credentials shared on your registered email ID. Select the 360 Feedback product during the initial setup of the application. Click on “Login to the portal” and go live with the 360 feedback application.

How can I upload employee data?

Empxtrack allows setting up of employee data in two ways –

  • Add employees one by one – Enter the basic details of one employee at a time and create an employee profile. Add employee details in the specified format to avoid errors.
  • Upload employees using CSV in one go – Download sheet, fill details of multiple employees in the same format (to avoid errors) and upload it in the system.

What are the steps to conduct an employee exit?

Empxtrack allows HR Admin to conduct exit in just a few steps:

  • HR initiates the exit for an employee by specifying details such as last working date, date of joining, type of exit and more
  • Exit survey form is sent to the employee and Clearance Managers are specified
  • All clearance managers receive notification to complete the clearance process
  • Exiting employee receives notification to fill in the exit survey and provide feedback
  • Once the clearance is completed from all departments, employee is marked as exited from the system

Note: The Enterprise version of Empxtrack allows employees to initiate the exit process by capturing resignation.

How can I create employee login for my employees such that they can start using Empxtrack?

If employees are not added in Empxtrack

  • Go to the Dashboards Homepage and click Add an employee under View employees widget.
  • Specify basic and employment details of the employee.
  • In the Communicate tab, the checkbox labeled as Send welcome email to employee is selected.
  • Click Confirm. The employee will receive notification with login credentials.

If employees are already added in Empxtrack

  • Go to the Dashboards Homepage and click View the entire team under the View employees widget.
  • Click Send emails towards the end of the page.
  • Select Welcome email from the Select template dropdown. Specify the name of the employees whom you want to give the application access. 
  • Click Send. The email will be sent to the employee with login credentials to access Empxtrack.

Can I configure the product according to my requirements?

Yes, Empxtrack offers multiple configuration options to add multiple clearance types and associate them with clearance managers and modify exit survey form as per your needs.

What happens when I initiate the exit?

When the employee exit is initiated, a notification is sent to the leaver to fill the exit survey form and to clearance managers to give clearance on behalf of their department.

Once the HR manager receives clearance from all the departments, the employee is marked exited in the system.

Who is a clearance manager?

An exit clearance manager oversees the process of ensuring that employees meet all requirements and complete relevant procedures before leaving an organization.

When an employee exits, they may require clearance (or approvals) from various managers or departments.

Empxtrack allows you to set up different clearance types and associate them with clearance managers.

How can I mark an employee as exited from the system?

Post clearance from all departments, click on Mark employee as exited the system icon to finalize the exit of an employee.

What are the different reports and analytics available?

With Empxtrack, you can view exit analytics and generate a full data report. Multiple dashboards are available to help HR and leadership in analyzing the exit data. View dashboards related to yearly exit requests and exit reasons, and exits based on employee tenure.
